The Automated Process needs information about certain organizational resources to function properly. The Resource maintenance Processes provides the functionality to enter and maintain this information. A separate process is provided for each resource; however the processes have the same functionality. In order to accommodate initial entry and large changes, the Resource Maintenance Processes provide for a bulk entry function where information about multiple resource instances is read directly into the data base. Errors encountered during the bulk load process are processed as individual Resource Changes. The resources maintained by the Resource maintenance Process are: Employees, Documents, Equipment, Systems and Areas.
This Resource Maintenance Basic Process is illustrated in Figure 1.

Initiate Resource Bulk Change: Resource information for multiple resource instances are collected in a spreadsheet. This information is read into the Automated Process Database by the Initiate Resource Bulk Change Step. Any Errors that are encountered are routed to the Correct Resource Change Step.
Correct Resource Change: Errors that occur during the Initiate Bulk Resource Load Step are individually reviewed and the errors corrected in the Correct Resource Change Step. Once the corrections are made the Resource Change is routed to the Approve Resource Change.
Initiate Resource Change: For change to individual resource records, the current resource data is loaded into the Initiate Resource Change Step. If the change is to initiate a new Resource Record the Resource fields are blank. The Resource Change Initiator enters the change data and routes the Change. New Resource Records and significant changes are routed to the Approve Resource Change Step. Minor Changes by-pass the Approval Step and are routed to the Complete Resource Change Step.
Approve Resource Change: The Responsible Manager for the Resource Type reviews the Resource Change. If the change is not satisfactory the Manager can either make the changes in the Approval Step or record the deficiencies in the back route notes and return the Resource Change to the Initiate Resource Change Step. When the Responsible Manager is satisfied with the Resource Change He routes it to the Complete Resource Change Step.
Complete Resource Change: When the Resource Change enters the Complete Resource Change Step it is used to update the Resource Record with the changed data. The Complete Resource Change is filed as achieved.
